Templates are dangerous when you copy them word-for-word. They're useful when you steal the structure and rewrite the words for your ICP. These are five we still use in 2026, with the psychology behind why each one works.
1. The "specific observation" opener
Hey {first name}, saw {company} just {trigger event}. Usually when teams hit that point, {specific pain} becomes a real bottleneck. We helped {similar company} cut that by ~40% inside a quarter. Worth a quick look?
Why it works: the trigger event proves you actually researched. The pain is concrete. The result has a number. The CTA is low-friction.
2. The "two-line" cold email
{first name}, quick one. Most {role} teams we talk to are losing 6–10 hours a week on {specific task}. If that sounds like {company}, worth a 15-min look?
Why it works: short enough to read on mobile in 4 seconds. The pain is quantified. The CTA is specific (15 min, not "a chat").
3. The "permission to close" final step
{first name}, totally fine if this isn't a priority right now. Should I close the loop on my end?
Why it works: removes pressure, often gets the highest reply rate of the whole sequence. People feel obligated to respond when given an easy out.
4. The "case study" follow-up
Following up, quick example: {similar company} came to us with {problem}. Inside 6 weeks: {specific result}. Not saying same applies to {company}, but the parallel seemed close. Open to a 20-minute walkthrough?
Why it works: proof without bragging. The hedge ("not saying same applies") signals honesty.
5. The "soft reframe"
{first name}, wanted to come at this differently. Forget the pitch. If I were running {their function} at {company} right now, the thing I'd want to know is {insight}. Want me to send the 1-pager?
Why it works: repositions you from vendor to advisor. Offers value with no commitment.
How to use these
- Pick one. Don't mix patterns inside a sequence.
- Rewrite every variable for your ICP, generic = ignored.
- Test on 200 sends before judging.
